Email, client texts and document handling for workers' comp firms
Amber works in your firm’s email and on your network drive. It files what comes in, keeps each case’s mail in order, and handles the PDF chores that eat a paralegal’s day.
Email triage
Amber reads your firm’s email, works out which case each email belongs to, and files the PDF attachments into that case’s folder on your drive. Faxes that arrive by fax-to-email are handled the same way.
- Works in the inbox you already have
- Finds the client from the attached PDF when the email does not name them
Email digest per case
Each case page carries a short summary of the last 60 days of email, sorted into what is urgent, what is still open, and what has changed. It refreshes as new mail arrives.
- What needs an answer today
- What is still waiting on the other side
- What changed since you last looked
Document indexing
Every document that reaches a case is read and sorted: medical report, pleading, panel, UR decision, settlement document and more. Amber pulls out the dates and parties, including the exam, signed and served dates on QME reports.
- Looks past fax cover sheets and proofs of service to the real document
- A date the document itself does not support is left blank, not guessed
PDF split and merge
Split a big scan into separate documents: you mark where each one starts and Amber suggests a name for each piece. Merge PDFs, Word files and images into one PDF with a bookmark for each.
- Page thumbnails to set the split points
- Merged files keep their own bookmarks, nested
QME scheduling
Once a QME is selected, Amber drafts the first email to the doctor’s scheduling office with the applicant’s details. After you click Confirm & send, it carries on the back-and-forth from your email and records the appointment when the office confirms.
- Handles the back-and-forth with the doctor’s office from your email
- Puts the confirmed date, time and address on the case
- Steps aside the moment you reply in the thread yourself
QME appointment notices
When a QME appointment is booked, Amber drafts the two notices: an email to defense counsel (or the adjuster) and one to the client, each with your notice letter attached, ready to review and send.
- Raised again if the appointment is rescheduled
- Drafted from your firm’s notice letters
Client texts and reminders
Text a client from the case and see their replies in one thread. Before each QME exam, Amber drafts two reminder texts.
- Automatic reminders 2, 3, 5 or 7 days before the exam, and again the day before or that morning
- Replies land on the case, next to the client’s email
Works on your network drive
Amber connects to the case folders on your firm’s network drive through a small connector on an office PC. It reads new files as they land and files email attachments back into the right folder, so there is nothing to migrate.
- Your folders stay where they are
- New client folders become new cases automatically
- Email attachments filed into the right case folder
